CVETS, Columbia Veterinary Emergency Trauma and Specialty, is a rapidly growing Specialty and Emergency hospital seeking a highly organized, relationship-driven Referral & Care Coordination Specialist to join our Client Service team. This role is essential to ensuring seamless communication between referring veterinarians, our emergency department, and our specialty services- supporting continuity of care for every patient we serve.
Our state-of-the-art hospital continues to expand alongside our team. With over 29,000 square feet of advanced medical space, CVETS includes a dedicated ICU, multiple operating rooms, radiology suite, endoscopy and chemotherapy services, ultrasound, 16-slice CT, on-site MRI, and a wide range of specialty departments including emergency, internal medicine, oncology, surgery, cardiology, neurology, dermatology, dentistry, and more. Position Overview
We are seeking an experienced veterinary professional who excels in client service, communication, and coordination of care. This individual will manage specialty schedules and referral workflows, facilitate smooth transitions of care from referring DVMs and our ER team to specialty services, and serve as a key liaison between CVETS and the veterinary community.
This is a highly visible, relationship-focused role that plays a critical part in ensuring patients receive timely, coordinated, and high-quality care.
Key Responsibilities
- Coordinate incoming referrals from primary care veterinarians to appropriate specialty services
- Manage specialty schedules to ensure efficient patient flow and timely access to care
- Facilitate seamless transfer of care from Emergency Department to specialty teams
- Serve as a primary point of contact for referring veterinary hospitals
- Build and maintain strong, professional relationships with referring DVMs and clinics
- Communicate clearly and effectively regarding appointment scheduling, patient updates, and referral status
- Ensure accurate and timely documentation within hospital systems
- Collaborate closely with CSR, ER, and specialty teams to support continuity of care
- Identify and help improve referral workflows and communication processes
What We’re Looking For
- Veterinary experience required (clinical or client service experience strongly preferred)
- Strong communication and interpersonal skills with a professional demeanor
- Experience in client service, CSR, referral coordination, or veterinary scheduling preferred
- Ability to manage multiple priorities in a fast-paced, high-volume environment
- Exceptional organizational skills and attention to detail
- Comfortable working across teams and communicating with external veterinary professionals
- Experience with veterinary software systems (EzyVet preferred) is a plus

Requirements
- High school diploma or equivalent required
- Higher education or veterinary training preferred
- Veterinary experience required (no exceptions)
- 3-5 years client service or veterinary coordination experience required
- Experience in a fast-paced clinical environment required
